Direct answer. A China vehicle export file should let the buyer trace the same vehicle or batch through the quotation, contract, commercial invoice, packing information, unit list, available inspection or conformity evidence, export records and transport document. The exact documents depend on whether the vehicles are new or used, the trade term, shipment method and destination rules.

Build one document trail around the same vehicle identity

The most common avoidable problem is not a missing PDF; it is inconsistent information across documents. The model, version, quantity, VIN or stock reference, colour and condition should remain consistent from commercial approval through shipment handover. Any permitted substitution should be approved in writing before loading.

Document or recordWhat the buyer should check
Quotation or pro forma invoiceVehicle identity, quantity, currency, named trade term and place, validity, included work and exclusions
Sales contractParties, payment milestones, specification, evidence, delivery responsibilities and remedy for material mismatch
Commercial invoiceSeller and buyer details, vehicle description, quantity, value, currency and references matching the contract
Packing list or unit listVIN or stock references where applicable, weights or package information and matched parts
Inspection or condition evidenceThe same unit reference, date, scope and issuing party
Transport documentShipper, consignee, ports or places, container or booking references and cargo description
Destination fileImport permits, conformity, tax, clearance and registration items required by the destination

New and used vehicles do not follow an identical file

For new vehicles, the buyer may need version-specific factory or conformity information depending on the market. For used vehicles exported under China’s used-vehicle route, the Ministry of Commerce identifies requirements including the applicable export licence, vehicle registration record and third-party inspection report under the relevant quality standard. Recently registered vehicles exported from 1 January 2026 can require additional after-sales confirmation from the producer.

Connect the document list to the Incoterms® rule

The named trade term determines responsibilities for delivery, risk and certain costs, but it does not replace the contract or destination import rules. State the exact named place or port and the Incoterms® 2020 rule. If freight, insurance or destination services are quoted separately, keep those charges visible instead of hiding them inside a vehicle price.

Container shipments need packing and unit references

For container shipments, connect the vehicle or parts list to the container number, seal, booking and loading evidence when available. The packing plan should reflect vehicle dimensions, securement, protection and the carrier’s acceptance requirements. Matched spare parts should be identified and packed so the consignee can reconcile them after arrival.

  1. Approve the exact vehicle or batch and freeze the written specification.
  2. Create a master unit list using VIN or stock references where applicable.
  3. Match the quotation, contract and invoice to that list.
  4. Add inspection, condition or conformity evidence for the same units.
  5. Record the loading, container, booking or terminal handover references.
  6. Review the destination clearance file before originals or final copies are released.

Questions buyers ask

Does WanLiu decide which destination documents are legally required?

WanLiu can coordinate the China-side file and share available vehicle information, but the buyer or appointed destination agent should confirm the current import, conformity, tax and registration requirements.

Should the VIN appear on every document?

The appropriate identifier depends on the stage and document, but the file should provide a reliable way to connect every approved unit to the commercial and shipment records.

Can vehicle parts travel in the same container?

They may be coordinated in the same shipment when the carrier, packing method and customs documentation allow it. List and pack the parts separately enough for reconciliation.
