Know exactly what is being offered.
The quotation should distinguish a model indication, a factory order and an exact stock unit. Include the brand, model, trim, model year, powertrain, colour, steering side, quantity and supply status.
For a selected used vehicle, add the VIN or stock reference, mileage and condition reference. The same identifier should appear in the evidence pack and contract.
State the price on one clear basis.

|---|---|
| Currency | Which currency is used and whether conversion can change the offer |
| Trade term | Where cost and risk transfer between seller and buyer |
| Destination | The named port, terminal or agreed delivery point |
| Validity | How long vehicle availability, price and freight remain open |

Separate included and destination costs.
The offer should say whether it includes inland transport in China, inspection, export handling, port charges, ocean or land freight, cargo insurance and spare parts. It should also identify costs that remain with the buyer, such as destination customs clearance, duties, taxes, registration and onward delivery.
List the document package.
Depending on the vehicle and transaction, the package may include the commercial invoice, sales contract, packing or vehicle list, available title or registration records, export documents and the carrier’s transport document. The final list should be agreed for the destination and transaction.
Connect payment to milestones.
The quotation should name the contracting party and payment beneficiary, state the deposit and balance terms, and explain the events tied to each payment. It should also provide the estimated preparation and shipping window and identify factors that can change it.
Before payment instructions are accepted, confirm that the company named in the contract, invoice and beneficiary information belongs to the same transaction.
